VacancyHub ZW ("we", "us", "our") operates the website at vacancyhub.co.zw — Zimbabwe's free AI-powered CV builder and job listings platform. This Privacy Policy explains how we handle personal information collected through our platform.

2. Information We Collect

We collect information in the following ways:

• Information you provide directly — name, email address, phone number, physical address, employment history, education, skills, and other CV content you enter when building your CV.
• Account information — email address and password when you register for an account; account type (job seeker or employer).
• Employer information — company name, company description, logo, and contact details provided when registering an employer profile.
• Job alert preferences — location, category, employment type, and salary preferences for job alert subscriptions.
• Usage data — pages visited, search queries (truncated to 200 characters), job views, apply-click events, and other interactions with the platform. IP addresses are hashed before storage and are never stored in plain text.

3. How We Use Your Information

We use the information we collect to:

• Build and display your CV using our templates.
• Power AI CV tailoring and job matching features.
• Show you relevant job listings based on your skills and preferences.
• Send job alert emails when enabled and when you have opted in.
• Send transactional emails (e.g., account registration, job application updates).
• Show employers their job posting analytics (view counts and apply-click counts).
• Improve and maintain the platform through aggregated, anonymised analytics.
• Moderate job listings and employer profiles for quality and compliance.
• Comply with legal obligations.

4. AI Processing

VacancyHub ZW uses Google Gemini AI for the CV tailoring feature. When you use AI tailoring, only your professional content is sent for processing — specifically your job title, industry, work experience responsibilities and achievements, skills list, and the job description you have pasted. Personally identifiable information such as your name, email address, phone number, and physical address is never sent to the AI. Processing is governed by Google's Privacy Policy. We do not use your data to train AI models.

AI-generated suggestions are for assistance only. You should review all AI output before accepting it into your CV.

5. Data Sharing

We do not sell your personal data to third parties. We share data only in these limited circumstances:

• Google Gemini API — anonymised professional CV content (work experience text and skills — no PII) is sent for AI tailoring as described above.
• Email service provider — your email address is used to deliver job alerts and transactional emails.
• Payment processors — if you purchase a premium subscription, payment details are handled by a third-party payment provider and are never stored on our servers.
• Legal requirements — we may disclose information if required to do so by law or in response to valid requests from public authorities.

6. Data Retention

• Guest sessions — CV data entered without an account is stored in your browser session. It may be deleted after a period of inactivity.
• Registered accounts — your profile, CV, and activity data are retained for as long as your account is active. If you delete your account, we delete all associated personal data within 30 days, except where retention is required by law.
• Analytics events — stored in hashed, anonymised form for up to 12 months.

7. Your Rights

You have the right to:

• Access — request a copy of the personal data we hold about you. Use the "Export My Data" feature in your account settings, or contact us directly.
• Correction — update or correct your personal data through your profile settings at any time.
• Deletion — delete your account and all associated personal data. Use the "Delete Account" option in your account settings.
• Opt out of emails — unsubscribe from job alert emails using the unsubscribe link in any alert email, or manage preferences in your account notification settings.
• Portability — export your profile, CV content, and saved job data as JSON from your account settings.

8. Cookies and Local Storage

VacancyHub ZW uses session cookies to keep you logged in and to maintain your CV data during a session. We do not use advertising cookies or third-party tracking cookies. We do not use Google Analytics or any external analytics service — all usage data is collected and stored on our own servers.

9. Security

We take reasonable technical and organisational measures to protect your personal data:

• All data is transmitted over HTTPS (TLS encryption).
• Passwords are hashed using Django's default PBKDF2 algorithm.
• Uploaded CV files are stored outside the public web root and served only to the authenticated owner.
• IP addresses recorded in analytics are hashed with a secret salt before storage.
• Account suspension controls are available to administrators to prevent misuse.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

10. Children's Privacy

VacancyHub ZW is not directed at children under the age of 16. We do not knowingly collect personal data from anyone under 16. If you believe we have inadvertently collected such data, please contact us so we can delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the platform after changes are published constitutes acceptance of the revised policy.
